Purpose of Position

The Manager, International Trip Planning is responsible for effectively anticipating, evaluating, and resolving critical issues that affect EJM international flights. The Manager is responsible for the development, implementation and adherence of policies and procedures, department staffing, workload management, training, employee development and performance, internal and external coordination of communication, problem resolution and budget management. Additionally, the Manager will also be engaged in process improvement and will assist in the development and execution of strategic initiatives.

Tasks and Responsibilities

  • Adhere to departmental budget goals with respect to employee welfare, purchasing approvals and overtime approvals.
  • Create and maintain daily and monthly schedules to ensure proper staffing levels.
  • Proactively identify potential pitfalls and risk factors. Make decisions and develop solutions that adhere to company core operating principles.
  • Focuses on improving intradepartmental communication and coordination; proactively seeks and resolves possible operational issues by recognizing potential conflicts of daily operations be they ATC/traffic related, weather, geographical, risk management and reduction; faster, better informed dispatcher decision making; improved interdepartmental employee relations; enhanced FOC employee understanding of other departments policies and procedures; more economical and refined use of hardware and software by all departments; and impressive customer relations benefits and experience; fostering employee loyalty through coaching and mentoring. 
  • Utilize developmental leadership practices to ensure employees are properly trained on their day-to-day responsibilities. Coaching and mentoring of employees, goal creation, employee evaluation & performance management. Participate in the new hire process and develop initial / recurrent training program. 
  • Assist the Director, Flight Support and Vice President of Flight Operations on various projects as requested as assigned, with a focus on developing the future of  Flight Support functions related International flight operations. Support department while aligning with Flight Operations and company goals
  • In absence of the Director, may assume Director responsibilities as assigned by the VP, Flight Operations.
  • Reviews case management documentation.  Effectively presents information and responds to questions from groups of managers, clients, and customers.  Writes reports, business correspondence, and procedures manuals.  Resolves most situations independently and involves Flight Center leadership as necessary.  Never loses sight that the FOC dispatch provide a quality and regulatory service to Client Services and Charter.
  • Document policies and processes; create, manage and align existing Flight Center operating procedures with those in dependent departments.  Maintain and manage the Flight Center Standard Operating Procedures manual, thus establishing a reference point for all Flight Center employees while promoting standardization.
  • Effectively presents information and responds to questions from groups of managers, clients, customers and the general public. Writes reports, business correspondence, and procedures manuals.  Resolves most situations independently and involves FOC leadership as necessary.
  • On call duties are expected 24/7/365

Knowledge, Skills, Abilities and Other (KSAOs)

  • Minimum of 2 years supervisory / managerial experience preferred 
  • 4-6 years of Dispatch experience, preferably International Operations
  • General understanding of aircraft capabilities including aircraft specific performance limitations.
  • Thorough understanding and application of all FAA regulatory requirements.
  • Understanding of aviation operations including: aircraft limitations, flight crew requirements, flight planning and aircraft performance, landing/overnight permits, slots, customs and international operations
  • Excellent verbal, written and communication skills
  • Sound foundation in leadership skills.
  • Ability to shift priorities as required
  • Working knowledge of Microsoft Office products.
